1. Bring the business brief

List your services, customer journey, staffing, and daily routines.
Bring the equipment list with manufacturer dimensions and requirements.
Identify storage, deliveries, cleaning, waste, and staff support needs.
Separate design priorities, fit-out budget, and opening assumptions.

2. Gather the space information

Request the latest plan; note whether dimensions have been verified.
Photograph entry, walls, ceiling, fixed obstructions, and service areas with permission.
Mark photo locations and visible doors, windows, columns, and changes in level.
Record what stays, what may change, and what is unknown.

3. Test an ordinary day

Trace arrival, waiting, service or browsing, payment, and exit.
Trace staff preparation, work, restocking, and closing routines.
Note where routes cross or activities compete for space.
List customer access and privacy needs for professional review.

4. Ask the landlord

What is the process for confirming the proposed business use and alterations?
What plans, reports, and building-system information are available?
What conditions apply to signage, deliveries, construction access, hours, and waste?
Which fixtures or equipment remain, and who is responsible for their condition?
What dates or decisions affect access for surveys, pricing, and work?

5. Ask the contractor and designer

Contractor: what needs investigation before reliable pricing?
Contractor: which equipment and building-system questions need a qualified specialist?
Designer: which layout decisions should come first, and what information is missing?
Designer: what drawings, views, or schedules would help the next decision?
Confirm who handles any required specialist documentation and approval work.

6. Give the unknowns an owner
